How to Create a Meeting
Set up a new board meeting with an agenda in minutes.
- Sign in and go to your Organization Dashboard.
- Click New Meeting in the Meetings section.
- Enter the meeting title, date, time, and location (or video link).
- Add agenda items by clicking + Add Item and entering a title and description for each item.
- Click Save & Notify to publish the meeting and send email notices to all board members.
How to Invite Board Members
Add new board members to your organization so they can access meetings and documents.
- Open Settings → Members from the sidebar.
- Click Invite Member.
- Enter the person's name and email address.
- Choose their role: Board Member or Board Administrator.
- Click Send Invitation. They will receive an email with a link to create their account.
How to Upload & Share Documents
Attach files to a meeting or store them in your organization's document library.
- Navigate to the meeting or to Documents in the sidebar.
- Click Upload Document.
- Select a file from your computer (PDF, Word, or spreadsheet).
- Add an optional description, then click Save.
- The document is immediately visible to all board members with access to that meeting or library.
How to Record Meeting Minutes
Capture decisions and action items during or after the meeting.
- Open the meeting and click the Minutes tab.
- For each agenda item, type notes in the provided text area.
- Use the + Action Item button to assign tasks with an owner and due date.
- To record a formal motion, click + Motion and fill in the motion text and vote counts.
- When complete, click Finalize Minutes. Board members will be notified and can view the approved minutes at any time.

BoardNotebook is a cloud-based board meeting platform built specifically for non-profit organizations. It gives board members a single, secure place to access agendas, minutes, documents, and meeting schedules — and gives administrators an easy way to manage everything without long email chains or scattered file folders.
Request access at ten.boardnotebook.com/join. Once approved, you'll receive an email to set up your organization's account. From there you can configure your organization profile and start inviting board members right away.
BoardNotebook is designed so that board members — who are typically busy volunteers — can use it with no training. The interface is intuitive: you can see your upcoming meetings, download the agenda, and read the minutes from a single dashboard. Administrators have a few more tools, but most common tasks take just a few clicks.

BoardNotebook works in any modern browser — Chrome, Firefox, Safari, and Edge. It is fully responsive, so it works on desktops, laptops, tablets, and smartphones. No app download is required.
FAQs — Meetings
Questions about creating and running meetings.
When an administrator publishes a meeting, BoardNotebook automatically sends an email notification to all board members. The meeting also appears immediately on their dashboard. Members can add the meeting to their personal calendar from the meeting detail page.
Yes. Administrators can update the agenda, change the time, or add documents at any time before or during the meeting. Board members will see the updated information immediately, and you can optionally send a change notification.
Yes. Each meeting has an attendance section where board members can mark themselves as attending, remote, or regrets. Administrators can also record attendance manually.
All past meetings and their finalized minutes are stored in your organization's archive, accessible from the Meetings section in the sidebar. You can filter by date range or search by meeting title or agenda topic.
FAQs — Account & Access
Managing your account, passwords, and roles.
On the BoardNotebook sign-in page, click Forgot password? and enter your email address. You'll receive a link to set a new password within a few minutes. If you don't see it, check your spam folder or contact your administrator.
Board Members can view meetings, agendas, minutes, and documents for their organization. They can mark attendance, add personal notes, and download materials.
Board Administrators can do everything a board member can, plus create and edit meetings, manage the agenda, upload documents, record minutes, and invite or remove members.
Yes. BoardNotebook is multi-tenant, meaning a single account can be associated with multiple organizations. Use the organization switcher at the top of your dashboard to move between them.
Go to Settings → Members, find the member's name, and click Remove. Their access is revoked immediately. Their historical contributions (attendance records, minutes notes) remain in the archive for governance purposes.

How BoardNotebook keeps your data safe.
Yes. BoardNotebook uses HTTPS/TLS for all data in transit and encrypts sensitive data at rest. Each organization's data is logically isolated from other organizations. Only authenticated members of your organization can view your meetings and documents.
Only board members and administrators who are active members of your organization can access your documents and minutes. BoardNotebook staff can access data only in exceptional circumstances (e.g., to resolve a support issue at your request) and never shares your data with third parties.

You can export all your organization's meetings, minutes, and documents at any time from Settings → Export. If you close your account, your data is retained for 90 days and then permanently deleted. Contact info@boardnotebook.com to request early deletion or a full data export.
